Wisenet: Simplifying Compliance for Training Organizations

The compliance landscape, sparked by ever-changing regulations, is increasingly complex. In this scenario, organizations need to keep up with a confluence of regulatory and business changes that accentuate new demands on compliance. With compliance now at a tipping point across diverse industries, most organizations continue to struggle while addressing these ever-evolving and constantly multiplying changes. The story is no different in the training organization world, where executives often find their firms tangled up in dynamic and complex compliance requirements.

This industry narrative is what Wisenet intends to change. One of the leading names in the education management space, Wisenet, a division of Adapt IT, is focused on empowering training organizations with the right resources relevant to their specific requirements and the country they deliver training in. With two decades of industry leadership in compliance management, Wisenet is the vendor of choice for the leading vocational training organizations across Australia, New Zealand, and Singapore. “We give our customers the tools to respond to the dynamic nature of government policy,” begins Alister Smith, Wisenet’s Business Innovation Manager. “Wisenet has been around for many years and is a trusted and proven product with years of knowledge of experience working with not only the front-line customers in training organizations but also with the government.” Wisenet is on the advisory panel/boarding for many government departments when new regulations are being planned.

Touching upon the challenges prevailing in this realm, Smith stresses that compliance varies greatly—from international to domestic, national to state funding, higher education to VET, apprenticeships, accredited to non-accredited, funded to fee-for-service, to data collection, privacy, assessment/evidence, application forms, and certificates. Education providers are caught between a rock and a hard place while addressing this variance in compliance requirements and processes, coupled with the new challenge of international and domestic borders closures, social distancing, and periods of only remote learning. To that end, Wisenet shields its customers from this complexity, enabling them to respond quickly to changes. The first step to realizing this, Smith explains, is to view compliance as an essential foundation, rather than a burden, to achieve a competitive advantage and drives success. He emphasizes that compliance should be a part of all decisions, including what tools or processes can reduce any complexity.

At the core, Wisenet equips its customers with a high-performing, reliable and scalable Learning Relationship Management (LRM) system to ensure that their staff has access to accurate data at all times to meet compliance requirements. “Training organizations must have the staff that understand compliance. Wisenet LRM ensures that they stay on top of the ever-changing compliance requirements and are up to date with funding changes, government reporting and different state requirements. We communicate through various channels with our customers to ensure they understand the changes or the requirements. Additionally, we run webinars or communicate within the application via notifications for updates,” states Mary Kyriacou, Operations Manager, Wisenet.

Primarily catering to quality training providers who seek to modernize their education business, Wisenet’s products and services are designed to help them reduce the amount of effort required to meet compliance requirements. The company reduces the number of steps involved to complete the procedure with slick processes and automation. This is coupled with a learner-based pricing model that aligns with the customers business, whereby customers pay less when their demand reduces. “The automation provides excess time to focus on differentiating your brand—ultimately building strong relationships and delivering quality education. This is vital in the collective social effort of improved national education outcomes,” adds Smith. While compliance management demands real-time data reporting, Wisenet LRM allows all stakeholders to have more accurate insights into the current state of training activity, including near real-time feedback for data quality, funding payments, and training benchmarking. To supply data in real-time, Wisenet brings in API-based integrations with government systems, eliminating the manual data submission processes and allowing data to flow as it is collected within the system.

To illustrate more, Mary cites an example of a training organization faced with reporting compliance issues, wherein a document obtained from the government shows errors. On receiving a copy of that report from the organization, Wisenet works with them to understand and address the issues one at a time and step by step. Mary informs, “We do not complete the corrections in the data as it is the customer’s responsibility to correct their data and ensure it is compliant at all times. We guide them through the Wisenet LRM tool.” To this, Smith adds, “We aim to solve as much of the problems through intuitive and easy-to-use products. This is coupled with amazing documentation to facilitate self-help and also proactive discovery of what is possible. The final layer is the Wisenet Team that provides a range of services chat, support, calls, training/consulting.”

Backed by a highly-experienced team of professionals with the right attitude, skills, and qualifications, Wisenet puts the best interest of its customers first and ensures continued growth of the business. Besides, the company’s uniqueness also stems from its philosophy that goes beyond student administration. The features are designed to minimize manual processes and to have true automation that does not require user intervention.

With a strong value proposition in place, Wisenet is all set to stay ahead of the curve by continually reinventing and enhancing its software. We have just come out of a phase of rearchitecting our product. While we have delivered some fantastic new features, the foundations that have been laid will allow us to provide new features more quickly. We will be focusing on adding more capability at streamlining the processes training providers take to complete the learner journey. As part of this, we have also built the product for scale to extend within existing and new markets,” concludes Smith.
